Creating Welcome Bags for Out-of-Town Guests

If you have many guests traveling from near and far for your wedding, it’s a wonderful touch to give them a welcome bag or basket upon their arrival! These serve as a sweet “thank you” for coming and also ensure that your guests are comfortable while away from home.

Each bag should include some basic comforts of home such as the following:

  • Two small bottles of water
  • Some small sodas
  • Snacks (include something sweet and something salty)
  • Individual packets of Advil or Tylenol
  • A guidebook of things to do and places to eat in Nashville
  • A note thanking your guests for coming

In addition to the basics, you can include basically anything you’d like! The most common “themes” that I see for these bags are the “Nashville” theme and the “couple” theme.

To create a welcome gift bag with some Nashville flair, try including some Nashville postcards, Loveless jams, Moon Pies, Yazoo beer, Jack Daniel’s whiskey, Lynchburg cakes and candy, or Goo-goo clusters. Really, any products that remind you of how unique Nashville is as a city will work for this bag! Items can be things you’d only ever find in Nashville or even popular items that Nashville is proud to call our own. Here, the physical bag can be something fun and southern like a canvas tote or gift bag printed with the Nashville skyline.

Another idea is to create a welcome bag that shows off what makes you unique as a couple! You can include some items that allow guests to learn a little more about you such as items native to your hometowns or the city where you met, a favorite movie to watch in the hotel room, your favorite snacks and drinks, or create a booklet that tells the story of how you met since not everyone attending may truly know the details. Symbolic items with attached notes are always fun too. For example, a couple that met in the “Big Apple” might include a green apple in their bag.

Many companies provide custom printed wrapping in addition to cute, printed bags. We recommend www.NashvilleWraps.com —a local company that has some really great products.

Typically, you can anticipate spending between $15 – $50 for each filled bag (depending on what items you include) in addition to distribution fees. Most hotels charge between $2 and $5 a bag for distribution so keep that mind when budgeting for this expense. I can promise you though, your traveling guests will love that you thought of them!
